What is THE planning tip that helps you stay in control of your schedule on the short term and achieve your goals on the longer term?

It’s all about de-selection. A wise person once told me that doing multiple “good” things is not nearly as effective as doing 1-2 “great” things. So with planning and managing my schedule, I spend more time on minimizing nice to do things to allow more time to go in depth with great things.

This allows me to have more meaningful relationships (family, peers) and more impact at work (goals, focus).

What is THE planning tip that helps you stay in control of your schedule on the short term and achieve your goals on the longer term?

Short term: including exact travel times also locally in town in my schedule.

Long term: Using the Eisenhower Matrix to get rid of unnecessary meetings.

The Eisenhower matrix is a matrix with the two dimensions “urgent” and “important” and you can fill your projects into the four fields to see at one glance what is important AND urgent and do this first. Because people tend to do the urgent but unimportant things first, while there might be important things that should have more focus.

I spend a couple of days every November deeply reflecting on what I’ve learned over the past year, where I am relative to longer term goals I’ve set for myself (from everything to building my faith to growing as a leader), and on growth goals we’ve set at The Garage Group. I use outputs from that reflection time to update my family and personal mission and to create my yearly goals and plan. Reviewing my family/personal mission and yearly priorities on a daily basis helps me to make sure I’m hustling everyday with purpose toward achieving what’s important to me, my family, and our team.

For critical projects, a definite plan and regular meetings to review progress and make adjustments are essential. If effort and energy are not invested in monitoring and guiding projects, they tend to wither away.

What is THE planning tip that helps you stay in control of your schedule on the short term and achieve your goals on the longer term?

My schedule is always planned one week in advance and first priority is given to customers. I assign at least 2 hours a week of blocked time for strategy updates and take 4 hours for dedicated transformation work link to our strategy execution and delivery. Discipline around meetings is key to success to manage time and only participant that add value and make decisions is invited. Measure the output and actions of each hour spend and you will very quickly eliminate redundant and non-value adding activities.

Manageable flexibility. Flexibility with internal scheduled meetings from all team members is important and should not be a reason not to prioritise client meetings. As those might come up short term team members have to adjust their schedule to their maximum capacity to reschedule, go to conferences etc. And try to not overbook yourself in order to have some time available for different topics that will arise, internally and externally. Hope that’s ok!
